We are looking for an HR Contracts and Admin Officer to join our HR team based in either Transinne, a village in the Belgian municipality of Libin, or Wavre, Belgium.
In this role, you will be responsible for handling HR legal documents and administrative tasks related to employment contracts, freelancer agreements, addendums, and other key documentation across multiple European countries. You will ensure compliance with local employment laws and company policies, oversee document management, and support HR-related projects.
Tasks and Activities
The scope of work will include:
- Contract management: being responsible for the overall contract signature process, including preparing contract folders, drafting contracts (employee, freelancer, addendums, CCNs, internships), verifying information, obtaining signatures, and addressing candidate inquiries.
- Follow-up and compliance: maintaining up-to-date Contract Follow-up File and Bonus File, ensuring accuracy and real-time updates.
- Onboarding follow-up: sending onboarding checklists to managers after onboarding tasks are completed and track probation periods of all new employees.
- Employee administrative support: drafting and sending training agreements, employment certificates, car policies, and other relevant employee documents.
- Document management: maintain organized and up-to-date document drives, categorize and file documents, and manage HR templates for employment contracts, addendums, and freelancer agreements.
- Legal compliance: ensuring all contracts and legal documents comply with local labor laws and company policies.

Skills and Experience
The following skills and experience are mandatory:
- At least a Bachelor’s degree in any of the relevant fields of study: Law, Labor Law, HR or Administration.
- A first experience of at least 1 year in a legal or administrative role involving contracts, OR, a minimum of 3 years of experience in a complex HR/administrative role.
- Good knowledge of legal requirements related to employment contracts and documentation.
- Keen attention to detail to ensure accuracy in contracts and legal documents.
- Strong problem-solving skills to address and resolve contract-related inquiries efficiently.
- Experience Excel and spreadsheets for reporting. Experience with any database applications or ERP systems will be a strong plus.
- Strong organizational skills and proficiency in document management.
- Effective communication skills across all levels, engaging both internal and external stakeholders.
- Ability to collaborate seamlessly across various departments.
- High level of confidentiality and professionalism in handling sensitive legal documents.
- Proactive mindset, anticipating needs and ensuring timely completion of tasks.
- Desire to work both autonomously and as part of a team, in an international multicultural environment.
- Solution oriented mindset, with a customer focused communication skill.
- Fluent in English and French, both written and spoken. Knowledge of Dutch is an asset.
